Who we are

JFS School (jfs.brent.sch.uk) is the data controller for the alumni milestones portal. Any questions, rights requests, or concerns should be sent to the school’s Data Protection Officer via the school office.

What we collect

  • The name, optional maiden name, and year left school of the person the milestone is about.
  • The event date (month / year) and the text you write.
  • Any photo you choose to upload.
  • Your own name, email address, and relationship to the alumnus.

We do not ask for dates of birth, addresses, phone numbers, or other sensitive identifiers.

Why we collect it

Our lawful basis is legitimate interests: keeping the JFS alumni community connected by sharing life milestones. We balance that against your and the subject’s privacy by moderating every submission before publication, by not collecting unnecessary data, and by responding promptly to takedown requests.

Death notices

Submissions about alumni who have passed away require you to confirm that the family has been informed and consents to publication. We do this out of respect for next of kin.

Retention

Approved entries are kept until the subject or their next of kin asks us to remove them, or until the alumni team decides they are no longer appropriate. Pending and rejected entries are purged after 90 days.

Your rights

You can ask us to update, archive, or permanently delete any entry. Contact the alumni team via the JFS school office or reply to the confirmation email you received when submitting. Under UK GDPR you have rights to access, rectification, erasure, and to complain to the ICO.
